Conference Tips | Presenters


Create a master list of prospective presenters no less than a year prior to the conference noting the number of presenters requiring full aid, especially from far off places. Presenters who can take care of some or all of their own costs are especially valuable.
Maintain tight control over the strategy of presenter selection and of communications with speakers to help reduce risks of obtaining too many speakers or over lapped presenters; pick out key note presenter but have in mind a last moment back up key note speaker
Seek a good balance between well known speakers and the ones without widespread reputation but who may have ample field experience related to the conference mission; seek the proper balance in accordance with gender, minority and non minority, developed less developed country of origin, and student nonstudent status.
Many primary invites will likely be through individual contacts by the phone however the follow-ups must be made with written invitations. These ought to include: date, time and if indicated, other panelists at the time of speaker’s intervention; obtain a short biography and verified contact information (with specified deadline); query as to any special Audio visual needs; request for PowerPoint slides 7 days before conference; agreed upon terms of support of lecturer (places to stay, meals, registration, transportation, etc.) and reimbursement procedures (eg, are statements needed, will a fixed amount be paid, and advise speakers of the intentions to publish PowerPoint files on online. Some presenters could possibly cover his or her costs and, if they’re capable, they should really be invited to do so!
Obtain presenter biographies and contact information well ahead of time; provide deadline for his or her submission;  be ready to draft and submit for review biography prepared from much longer submissions by presenters
Officially thank presenters at the end of conference and arrange for thank you letters by appropriate person to invited presenters right after the conference. Consider making small speaker gifts.
